About PLAYORA

What is PLAYORA?

PLAYORA is a sports management platform built for colleges, universities and institutions running organised sports programmes.

It brings the sports journey into one connected system, from events, eligibility and registrations to trials, team selection, fixtures, results and participation records.

For sports departments, that means less time managing spreadsheets, forms and scattered messages. For students, it means one place to discover opportunities, register and keep track of what they have played.

Is PLAYORA only for colleges?

PLAYORA is designed primarily for colleges and universities, with the flexibility to support other institutions running organised sports programmes.

The platform works best where sports involve multiple events, teams, students, trials, selections, fixtures and records that would otherwise need to be coordinated manually.

What can our sports department manage with PLAYORA?

What is the difference between PLAYORA Campus, Athlete and Central?

They serve different people within the same sports ecosystem.

PLAYORA Campus is for the sports department. It helps administrators manage events, registrations, trials, selections, fixtures, results and records.

PLAYORA Athlete is for students. It gives them a simpler way to discover sporting opportunities, register, receive updates and keep track of their participation.

PLAYORA Central is being developed for universities that need visibility across multiple affiliated colleges using PLAYORA Campus.

Together, they are designed to connect students, sports departments and institutional leadership without asking everyone to work from the same interface.

Is PLAYORA Central available today?

Not yet.

PLAYORA Central is an upcoming product designed for universities managing sports across multiple affiliated colleges.

The goal is to allow participation, events and results from colleges using PLAYORA Campus to roll up to the university level without requiring separate reporting exercises.

Can we manage multiple sports?

Yes.

PLAYORA is designed to manage multiple sports, teams, events and competitions from the same platform rather than maintaining separate spreadsheets or systems for each sport.

Your sports calendar can therefore represent the institution’s programme as a whole while individual events continue to have their own registrations, selections, fixtures and results.

Can multiple administrators use PLAYORA?

Yes.

Different users can be given access based on their assigned roles and responsibilities.

That means the people running sports day to day can manage operations while institutional leadership can have the visibility appropriate to their role without needing to interfere with day-to-day administration.

For Students

How do students use PLAYORA?

Students use PLAYORA Athlete to stay connected to their institution’s sports programme.

They can see available sporting opportunities, register for events, receive important updates, check fixtures and venue changes, view results and maintain a record of their participation.

The aim is simple: students should not have to rely on a notice board, a forwarded message or a friend to find out what is happening.

Can students register through their phones?

Yes.

Through PLAYORA Athlete, students can discover open events and register from their phones without having to submit a separate paper form.

They can also receive relevant updates and keep track of their participation from the same experience.

Can students see upcoming trials and events?

Yes.

Students can see open events, registration information and trial dates relevant to them through PLAYORA Athlete.

They can also receive reminders before registrations close and updates when important event information changes.

Can students see fixtures and results?

Yes.

Fixtures, venue information, changes and results can be made available to participating students through PLAYORA.

Instead of the same information being communicated separately across different channels, it can be published from the sports programme and made available where students already participate.

Does PLAYORA keep a student’s sports participation history?

Yes.

PLAYORA can maintain a record of the events and sports a student has participated in through the institution.

This gives students a clearer record of their sporting activity while helping the institution maintain more consistent participation and achievement records.

For Sports Departments

Does PLAYORA handle trials and team selection?

Yes.

Trials and selection are part of the sports-management workflow.

The sports department can record selection decisions as they are made, helping maintain a clearer trail from registration and eligibility through trials and final team selection.

Can PLAYORA manage fixtures and venues?

Yes.

Fixtures, venues and squads can be managed as part of the event or competition rather than maintained across separate calendars and spreadsheets.

Relevant information can then be made available to the people who need it.

Can we publish results through PLAYORA?

Yes.

Results can be recorded within the platform and made available where they are needed instead of being repeatedly copied into different records and communication channels.

This also helps preserve the institution’s sporting history beyond an individual event.

Can PLAYORA help with certificates and reports?

Yes.

PLAYORA is designed to generate certificates and sports reports from information already captured through the platform rather than requiring administrators to assemble them again manually.

It can also support institutional reporting around participation, events and sporting activity.

For Institutional Leadership

What can principals, deans and institutional leadership see?

PLAYORA is designed to give leadership visibility into the sports programme without requiring them to manage its day-to-day operations.

Depending on their access, leadership can see information such as:

  • participation across departments, years and sports
  • events and tournament activity
  • participation trends
  • completed sporting activities
  • records useful for institutional and annual reporting

Access is role-based, so different users can see and manage information appropriate to their responsibilities.

Can PLAYORA help with annual and accreditation reporting?

PLAYORA maintains structured records of participation, events and sporting activity as the programme is run.

That means sports information needed later for annual reports, reviews or accreditation does not have to be reconstructed entirely from spreadsheets, emails and historical files.

The exact reports required by an institution can be discussed during the demo.

Does each institution keep its own data?

Yes.

Each institution’s information remains associated with that institution.

Where PLAYORA is used by an institution, the institution determines what student, athlete and programme information is entered and who within the institution is authorised to access it.

Data & Security

How does PLAYORA protect student and institutional data?

PLAYORA uses technical and organisational measures designed to protect information processed through the platform, including secure authentication, role-based access and managed, monitored hosting.

No online system can claim to eliminate every security risk, so we prefer to explain the safeguards we use rather than make absolute security claims.

Who controls student information in PLAYORA?

The institution does.

Colleges, universities and other institutions decide what information relating to their authorised users, students, athletes, teams and sports programmes is entered into PLAYORA and who within their organisation can access it.

PLAYORA processes that information to provide the services the institution has contracted for.

Getting Started

How do we get started with PLAYORA?

Start with a demo.

We will first understand how your institution currently manages sports and what your sporting calendar looks like.

Then we will walk you through the parts of PLAYORA relevant to your team and discuss how the platform could fit into your existing process.

If you decide to proceed, we will guide your team through setup and onboarding.

Can we bring our existing records across?

Existing student lists, event records, results and achievement data can typically be imported during setup.

What can be migrated depends on the format, structure and quality of the records you currently maintain, so we will review that with you during implementation rather than promise that every historical file can be imported automatically.

How long before we can start using PLAYORA?

Implementation depends on your institution’s requirements, data readiness and the amount of configuration required.

For many institutions, setup can be completed within a few weeks rather than requiring a lengthy software-development project.

We will give you a more realistic timeline after understanding your requirements.

What if we only run a few sporting events each year?

That is worth discussing with us.

PLAYORA can support institutions with relatively small annual sports calendars as well as those managing a larger programme of events and competitions.

During the demo, we will help you determine whether the platform makes sense for the scale and complexity of your programme.

Before You Book

What happens in a PLAYORA demo?

We use the demo to understand how your institution currently runs sports and show you how that workflow would look in PLAYORA.

Rather than walking through every screen in the product, we will focus on the areas relevant to your institution, whether that is registrations, trials and selection, events, reporting or the student experience.

There is also time for your questions.

How long does the demo take?

About 30 minutes.

Roughly half is a walkthrough of the platform and the rest is yours for questions.

If your team wants to go deeper into a particular area, such as selection trials, reporting or PLAYORA Athlete, we will arrange a longer second session rather than rush the first.

Who should attend?

Whoever runs sport day to day, and whoever signs off on it.

A sports director or sports officer will naturally focus more on operations. A principal, registrar, dean or other institutional leader may be more interested in reporting, participation and oversight.

Both tend to get more from the conversation when they attend together.

Do we need to prepare anything?

No formal preparation is required.

It helps if you can tell us roughly:

  • how many students participate in sports
  • how many sports you manage
  • what your sporting calendar looks like
  • how you currently handle registrations, trials, selections, fixtures and results

Even approximate answers are enough for the first conversation.

Is the demo a sales pitch?

It is a product walkthrough led by someone who can answer questions about how PLAYORA would work within your institution.

We will explain what the platform can do, where it fits and what implementation would involve.

If PLAYORA is not the right fit for your institution, we would rather tell you on the call than after it.

What does PLAYORA cost?

Pricing depends on factors such as the size of your institution, your requirements and how PLAYORA will be used.

Once we understand what you need, we will provide clear pricing for your institution during or following the demo.

There is no obligation to proceed.

What happens after the demo?

We will follow up with the information relevant to your institution, including answers to anything that could not be resolved during the call and, where appropriate, pricing and next steps.

If you decide PLAYORA is not right for you, there is no obligation to continue.

If you want to proceed, we will work with your team on setup and onboarding.
